What we manage

Invoice intake and capture

We become the billing address. Invoices arriving by mail, email, or provider portal are collected, digitized, and filed against the right site and account, so nothing depends on a store manager forwarding a PDF.

Pre-payment auditing

Every invoice is checked before it is paid. We look at meter and account match, rate class, usage against the prior period, estimated reads, duplicate charges, and billing that continues past a closure date.

Scheduled bill payment

Approved bills are paid on schedule, every cycle, across every provider. Late fees and shutoff notices stop being something you find out about from a site.

Account setup, transfer, and closure

New locations get service established and named correctly from day one. When a location changes hands, we run the transfer to the new responsible party. Closing locations get final reads pulled, accounts terminated, and billing actually stopped rather than quietly continuing.

How it starts

Onboarding is the easy part

Most of the work in the first 60 days is ours, not yours.

Account inventory

We build a complete list of what accounts exist, at which sites, with which providers. This step alone usually surfaces accounts nobody knew were still active.

Billing redirect

We work with each provider to move billing to us, in a staggered rollout so nothing lapses during the transition.

Steady state

Invoices flow in, get audited, and get paid. You review exceptions rather than chase paperwork.

Transfers

Transferring a utility account

When a location changes owners or tenants, the utility account has to follow. Here is how a transfer runs from request to confirmation.

  1. Submit a transfer request

    Send us the service address, the new owner or tenant's information, the requested transfer date, and contact information for both parties.

  2. Provide the required documents

    Proof of ownership or a lease agreement, a government-issued photo ID, and any additional supporting documentation.

  3. Verification review

    We review the submitted information and verify the account details to make sure the transfer goes through cleanly.

  4. Final meter reading

    A final meter reading is scheduled or completed on the requested transfer date to determine the closing balance.

  5. Account processing

    The utility account is updated and transferred to the new responsible party. Any outstanding charges are finalized and sent for accounting.

  6. Confirmation

    Both parties receive confirmation once the transfer is complete and the account records have been updated.
